The Lead Scout manages the campout. He is chosen from the older boys in the troop. It is his job to allocate tasks and to make sure they get done. He will run the campout with help from the SPL. He has two assistants, one will be First Class and above, the other will not be First Class yet. An adult Campout Advisor will aid these scouts. This is a general list of responsibilities required for a campout. Each campout has specific needs and the Lead Scout and the Campout Advisor should review a list of those and make changes as needed. Rule #1: If you don’t know ASK! We are all here to give you advice. Scouts: Campsite: Permission Slip/Money/Roster Food Activities Keep Campout Advisor apprised of the progress. Adult(Campout Advisor): Make sure the boys are on task. Arrange for Adult campers and Drivers. We need at least two leaders on every trip. Help with financial end of reservations. Get check or reimbursement from Troop Treasurer. Let the boys learn by doing as much as possible themselves. Review their plans to make sure they are not out of control financially. Keep Scoutmaster apprised of progress. Scoutmaster: Review progress Submit Tour Permit at least two weeks before campout. Permits that include swimming or climbing require more review at the council so need to be submitted well before the campout. Others can be submitted by fax the week before the campout. Need head count for youth and Adults Resources: Rosters both general purpose and duty can be created from Troopmaster Software. Ask Mr Likos or Mr Mangan for your specific needs. Permission slips can be generated from Troopmaster software or there are a number of templates floating around the troop. Menu planning-check the Internet, other scouts, adults for recipes. We do have a Dutch Oven Cookbook. Our Treasurer is Kristina LaFrance. Check with her for payment or reimbursement. Campout activities are listed in a number of BSA publications. See Mr Likos Campout Planning Checklist Scouts: Campsite: Choose a site for the campout. (There are resources on-line, from the OA and by word of mouth) Make reservations (find out how far in advance a deposit is required and how much) Notify the site of our arrival time. Make any special arrangements necessary to check in. We usually arrive late on Friday. Permission Slip/Money/Roster Make up permission slip. There are many templates around ask for an example. Distribute permission slip at least 2 weeks before camping trip. (Some campouts require a month or more) Get a Troop Roster as a general worksheet. See Scoutmaster or Asst Scoutmaster. Work with the Troop Scribe to collect money, create a roster and keep track of permission slips. Mark each scout as “PAID Check” or “PAID Cash” or “Not PAID” on each permission slip. Checks and cash should be placed in an envelope and given to the Troop Treasurer. A permission slip for each scout must be in the possession of the Scoutmaster before the campout. Give a copy of the roster to the Scoutmaster before the campout for the Tour Permit and planning. Food Create a menu for two breakfasts, one lunch and one dinner. (Some trips may need additional meals if we stay past Sunday AM.) Check Trailer for food we already have. Create a shopping list amounts to buy and the store where it should be bought. Decide food storage before the campout and how it will be transported to the campsite. Arrange for shopping to be done (Need an adult and scouts that need this requirement) Decide how food will be stored and kept safe during the campout. Make arrangements for coolers and storage containers Activities Decide on weekend activities (Where to hike, orienteering activities, football games etc) Friday Night Actifity Saturday Morning Activity Saturday Afternoon Activity Saturday Evening Activity Sunday Morning Activity Obtain items needed for activities (maps, compasses, first aid stuff etc) Ask scouts to see who has what Work with Sr Patrol leader to create a duty roster for the weekend Communicate Progress. Arrange to meet with campout group and advisor regularly at Troop meeting or on the side. Use email and phone calls to keep in touch with all members of the group Update the troop so they can come to the campout prepared Update the Scoutmaster of your progress.
